This notice explains which personal data we process, for what purposes and to what extent — when providing our services, on this website, in our apps and in our profiles on social networks.

Data processed

Inventory, contact, content, contract and payment data as well as usage, meta, communication and log data. Data subjects are customers and clients, prospects, communication and business partners and users of this website.

Purposes and legal bases

We process data to perform contracts and pre-contractual enquiries (Art. 6(1)(b) GDPR), to comply with legal obligations (point (c)), on the basis of legitimate interests — such as security and operation of the online offering (point (f)) — and on the basis of consent (point (a)), e.g. for analytics and marketing.

Software and platform services

For users of the roomeo apps we process the data required to provide, bill and secure the services. Data disclosed to us in the course of an order is generally deleted after the order ends; statutory retention obligations (usually ten years for tax purposes) remain unaffected.

Hosting and server log files

When the website is accessed, technically necessary data such as IP address, date and time, pages accessed, browser and operating system are logged. Log files are stored for a maximum of 30 days and then deleted or anonymised.

Fonts

The font “Poppins” is delivered locally from our server. No connection to Google servers is made.

Cookies and consent management

We use technically necessary cookies on the basis of our legitimate interest. This includes the cookie “roomeo_consent”, which stores your choice (duration 12 months). We only set all other cookies — for example for audience measurement and marketing — with your consent. You can change or withdraw it at any time via the “Cookie settings” link in the footer. Language setting

We store your language choice in your browser's local storage (key “roomeo_lang”); it is technically necessary, contains no personal data and does not leave your browser. On your first visit we select the language based on your browser's language setting. Whether the intro video has already played is remembered only for the duration of the session (key “roomeo_intro”).

Contact and demo requests

If you contact us via form, email or phone, we process your details solely to handle your enquiry and arrange an appointment. For enquiries via the form, the details are received via our hosting provider Cloudflare (Cloudflare, Inc., USA; basis: Data Privacy Framework) and delivered to us via the email service MailerSend (MailerSend, UAB, Lithuania).

We only send newsletters with consent. They are sent via Mailchimp (Rocket Science Group LLC, USA; basis: Data Privacy Framework). Open and click rates are measured. You can unsubscribe at any time via the link in the newsletter.

Web analytics and online marketing

With your consent we use Google Analytics and Google Ads with conversion measurement (Google Ireland Limited). Pseudonymous usage profiles are created in the process; IP addresses are shortened. Opt-out: tools.google.com/dlpage/gaoptout.

Social networks

We maintain profiles on Instagram, Facebook (Meta Platforms Ireland Limited) and LinkedIn (LinkedIn Ireland Unlimited Company). We are jointly responsible with the operators for page statistics; you can assert your data subject rights directly with the respective provider.

Transfers and third countries

We only pass data on where necessary for the stated purposes, for example to IT service providers — each time under appropriate contracts. Transfers outside the EU/EEA only take place on the basis of an adequacy decision, the Data Privacy Framework or standard contractual clauses.

Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and objection, as well as the right to withdraw consent given. You can also lodge a complaint with a data protection supervisory authority. Write to us at office@hotelfabrik.it.
